Digitalisation in the university administration
HAW Hamburg is optimising and digitalising its administrative processes. As a university, we are utilising the potential of digitalisation for more transparency, process optimisation, increased efficiency and a reduced workload for employees. Our focus is on the sensible use of digitalisation possibilities based on their usefulness, HAW Hamburg's structures and the everyday work of university members.
In order to carry out the above, HAW Hamburg is pursuing the following strategic goals:
1. Creation of basic application infrastructure

In 2019 and 2020, HAW Hamburg began preparing and introducing university-wide IT procedures for the digitalisation of administrative processes. These are intended to facilitate the creation of a basic application infrastructure, based on which further solutions can be implemented.
2. Implementation of individual solutions

Additionally, HAW Hamburg is implementing process optimisation and stand-alone IT solutions to reduce the workload in high-traffic areas and provide the necessary interfaces for linkages with other systems.
3. Employee and organisational development

Because digitalisation also involves the transformation of organisational structures, processes and culture (e.g. through process optimisation and digital workflows), as well as placing different demands on staff, HAW Hamburg is particularly dedicated to employee and organisational development. Among other things, the university aims to ensure acceptable change processes via sustainable communication and the professional development of employees. The form and speed of these processes should enable all university members to participate actively in the transformation.
The optimisation and digitalisation of administrative processes is steered by the Organisational Development and Process Management unit. In order to achieve the stated goals, various projects have already been implemented or are currently being planned. Current projects include the introduction of digital committee management and digital application management systems. Planning for the implementation of an electronic time-keeping system is underway. The implementation of a document-management system is also currently under consideration.
