Faculty Service Office
The Faculty Service Office in the Faculty of Engineering and Computer Science is responsible for all matters related to the faculty's exams and degree courses.
We advise and support students and instructors on all exam-related issues, including questions about exam regulations, admission requirements for course modules, and the technical requirements of examination procedures. We are also responsible for exam processing, the publication of grades and forms, the administration of exam files and the accompanying services, which include the management of certificates and the monitoring and maintenance of student transcripts. At the end of their studies, students receive their certificates from us.

Note about submitting application documents for a Bachelor's or Master's thesis

Please note that if you are applying to register your Bachelor's or Master's thesis, the documents should generally be submitted electronically as PDF files.
Applications to register your Bachelor's or Master's thesis can also be submitted via the Faculty Service Office mailboxes at Berliner Tor 7 and 21. They can also be sent to the Faculty Service Office by post.
How do I submit my Bachelor's or Master's thesis?

Because in-person office hours are now taking place again, you can submit your thesis directly to the Faculty Service Office during these times.
In-person office hours

If you would like to submit your thesis outside of the office hours, please arrange an appointment in advance via email or phone. It is not possible to submit your thesis to the Faculty Service Office in person without an appointment!

The postmark date will be considered the submission date.
If you are unable to print your thesis, it is also possible to submit it digitally. We will set up a folder in the cloud which we will share with you and your (internal) examiners so that you can upload your thesis as a password-protected, read-only PDF document. The date on which you upload the document will be considered the official date of submission. You then need to upload your final thesis and the required documents to the HAW cloud. Please note that all of the documents uploaded to the cloud must be printed and submitted as signed original documents as soon as it is possible to print them again. To arrange submission via the cloud, please use our contact form and send us a message so that we can set up a folder for you. You must have logged into the cloud and activated your account at least once beforehand in order for us to share this cloud folder with you.
It is still possible to submit your Master's thesis digitally via the HAW Hamburg cloud.
To arrange this, please use our contact form and send us a message. You must first log into the cloud and activate your account. We will then set up a folder in the cloud which we will share with you and your (internal) examiners so that you can upload your thesis as a password-protected, read-only PDF document. How do I obtain my graduation documents and certificates (degree certificates, transcript of records, diploma supplement)?

If you have received an email with information about picking up your graduation documents and certificates, you can pick up the documents from the Faculty Service Office during our office hours.
If this is not possible for you, please send us an envelope with your address and adequate postage. Provided that the documents have already been completed and signed, we will be happy to send them to you.
I have an oral exam, a resit exam, or a colloquium. How can I complete it?

Oral examinations are possible in consultation with the examiner. If you have applied to complete such an exam, please contact your examiner to organise an appointment.
On third attempts, oral exams will take place with at least some of the attendees physically present (the examiner/s and the student must be together in one room, the other committee member/s can attend via video conference), provided that all participants have agreed to be physically present. If this is not the case (if there are objections to carrying out the exam with the participants physically present), an application to postpone the deadline for completing the exam can be made in writing to the chair of the Examinations Committee. For this reason, it is also possible to extend the deadline for submitting the application. For all other attempts, the exam can be carried out completely in digital form.
For oral examinations and colloquia, presenters are permitted to remove their FFP2 masks when speaking. All other participants must wear their FFP2 (or higher-quality) masks at all times. The distance between the person speaking and those listening must be at least 2.5 metres.
Students are responsible for obtaining their own OP or FFP2 (or higher-quality) masks.
What are the current deadlines for registering for and completing oral exams?

This suspension applies to winter semester 2020/21 and the current summer semester (2021).
My examination regulations require previous practical experience for courses from a particular semester onwards. I cannot complete/demonstrate this experience. What do I do? How can I register?

Applies exclusively to the Department of Mechanical Engineering and Production Management and the Department of Automotive and Aeronautical Engineering for summer semester 2021:
To enable students with and without adequate practical experience to continue with their studies in a manner suited to the current situation and without difficulty, the Department of Mechanical Engineering and Production Management and the Department of Automotive and Aeronautical Engineering have adopted the following provision: In summer semester 2021, those students who have not yet completely fulfilled their practical experience requirements can also register for courses and exams at the fourth-semester level and above.
Please contact the Faculty Service Office by email with your registration requests. The relevant provisions in the Examination and Study Regulations have been suspended until the beginning of winter semester 2021. Please use the lecture-free periods to complete the practical experience requirements.

The following applies only to students in the Electrical Engineering and Information Technology degree course and the Renewable Energy Systems and Energy Management degree course who are subject to the 2019 Examination Regulations: Due to the amendment to section 4 of the 2019 Examination Regulations, previous practical experience is no longer a requirement.

We are available by phone weekdays from 10:00 am to 1:00 pm (Wednesdays: 1:00 pm–4:00 pm) at 0049 40 428 75-8333.
You can also send us a message anytime. To do so, please use our contact form. Please include your student number, your department and your degree course. This makes it easier to find your file.
We are currently experiencing delays in the processing of emails. Please refrain from requesting updates as this increases our workload.
If you send us documents digitally via email, please remember to submit the originals (where required) with the necessary signatures over the course of the semester via regular mail or via our mailboxes in Berliner Tor 21 or Berliner Tor 7.

If you need the signatures of instructors or professors, please contact these people directly before sending your documents to the Faculty Service Office. You can arrange this via email.
Even those applications sent as copies will be processed by the Faculty Service Office. In this case it is necessary that you send the original documents as soon as possible afterwards.

How do I submit a sick note from my doctor (Arbeitsunfähigkeitsbescheinigung) to the Faculty Service Office during the examination period?

The following rules apply for the submission of sick notes:
Please submit the sick note from your doctor via the Faculty Service Office mail boxes in Berliner Tor 7 or Berliner Tor 21, together with your student number, the examination name and the examiner's name, to the Faculty Service Office within three days (Saturday does not count as a work day). A member of the Faculty Service Office will stamp the sick note upon receipt and this will be considered the date of submission. It is therefore not necessary (and not currently possible) to submit the note in person.
OR
You can also submit the sick note from your doctor by regular mail (the postmark will be considered the submission date), together with your student number, the examination name and the examiner's name, to the Faculty Service Office within three days (Saturday does not count as a work day).

Are there regulations regarding failed attempts for this semester?

For summer semester 2021 only, the following regulations regarding failed attempts appy for all degree courses in the Faculty of Engineering and Computer Science:
1. Course exams (applies to all exams except final theses) marked as 'failed' or 'unsatisfactory' will be considered not to have been taken and will not be considered failed attempts.
2. Exam attempts that take place following attempted cheating, a violation of the rules or an unexcused absence and are marked as 'failed' or 'unsatisfactory' will, in contrast to the regulation outlined in Point 1, be considered failed attempts.
Please note: In this semester you must also submit a sick note (Arbeitsunfähigkeitsbescheinigung) if you are not able to attend an exam or wish to apply for an extension of the deadline for a take-home exam or other similar assessments ('unexcused absence').
3. The regulation outlined in Point 1 does not apply to Bachelor's or Master's theses or the accompanying colloquia, where such colloquia are required.
4. The regulation outlined in Point 1 does not apply if students apply to complete a supplementary oral exam.
Has the standard period of study been extended due to the coronavirus pandemic?

The individual standard period of study will be extended by one semester for all students who were enrolled and not on leave in summer semester 2020, winter semester 2020/21, summer semester 2021 and winter semester 2021/22. This is especially important for those students receiving BAföG student loans.
This extension of the individual standard period of study will be noted on the BAföG certificates, de-registration certificates and old-age pension insurance certificates.
